Most filing advice is written for glass towers and large departments. We write ours for the two-room practice, the converted shopfront and the home office with a real lease on it.
ABC Syracuse, LLC grew out of a simple observation made across northern Utah: small professional firms accumulate paper and digital records far faster than they accumulate habits for handling them. A single engineering practice can carry permit drawings, correspondence, client authorizations, supplier invoices, inspection notes and safety logs, all of it mixed into whatever cabinet happened to have an empty drawer. When someone needs one document, the search costs an afternoon. We exist to end that search.
Our work is deliberately unglamorous. We count boxes, measure shelves, read labels, interview the people who file and the people who retrieve, then design a scheme that fits the actual room. We do not sell storage units or binders. We design the system your staff will keep using after we leave, and we train them until the routine is second nature. That is the whole promise of the card catalogue: a place for everything, and a rule for finding it.
We treat a filing scheme the way a library treats a catalogue. Every document type gets a call number, every call number gets a home, and every home is written down in a register that staff can read. When a firm grows, the scheme stretches with it rather than collapsing. When a firm moves, the scheme travels in labelled crates. When a firm is audited, the scheme answers the questions before the auditor finishes asking them.
Because we work across computer systems design and professional services, we also bridge the gap between paper and screen. A paper index can mirror a shared drive. A retention schedule can drive both a physical archive and a digital purge. A document control program can govern a scanned invoice exactly the way it governed the original. Our systems are built to run at that seam, where most small firms quietly lose track of their own records.
Everything we publish is written in plain English, and every engagement begins with a survey of the real office rather than a template.
